Customize Contact Creation (Donor Management with Salesforce)

Last Updated: Sep 23, 2015 04:33AM EDT
With Click & Pledge Payment as a Service version 5.0 and greater, you can control how your Contacts within Salesforce are to be created. With the Click & Pledge integration with Salesforce, contact information from the transaction can be used to automatically create contacts. Now you have the ability to control the mode to use, i.e., Fully Automatic, Semi-Automatic and Manual Contact Creation and specify the fields you wish to have matched.

You get your Contacts created exactly how you want!

Contact Creation: Match Mode and Match Fields

To do this go to C&P Settings > Contact and Account

The 3 modes work as follows:
  • Fully Automatic Contact Creation - A transaction will be placed under an existing Contact when one of the selected fields within each of your chosen columns is matched. If a transaction does not meet the selected criteria then a new Contact is created.
  • Semi Automatic Contact Creation - A transaction will be placed under an existing Contact when one of the selected fields within your chosen columns is matched. If a transaction does not meet the selected criteria then it will be created in C&P Temporary Contact.
  • Manual Contact Creation - Every transaction will create a contact within C&P Temporary Contact.
Note: C&P Temporary Contact tab will allow you to choose to create a new contact or merge with an existing contact.

In general, most organizations will probably use the Semi-automatic mode.

So for example, with the conditions set in the image below. If the patron's first name matches either First Name or Alias First Name and Last Name or Alias Last Name and Email, then the transaction information will be added to the Contact screen. If it does not match, a new Contact will be created since in Fully Automatic Contact Creation.

Under Setting, you have a look-up field and a list of contacts that match the first name, last name, or email address. Choose an option below then click Process button.
  • create a new contact
  • look-up other contacts to attach the transaction
  • select an existing contact to attach the transaction

When you attach a transaction to an existing contact, the transaction will then be listed as a C& Transaction for the contact and the contact information from the attached transaction will be saved as Aliases for the contact. Aliases will then be stored with the Contact and used to attach future transactions. Aliases will not automatically override Contact information, but you may update Contact information following the instructions below.

Update Contact with Alias Information
If you wish you may update your Contact's information with saved alias information. Within your patron's Contact view, all aliases are stored under C&P Contact Alias. Here you can view the alias list, then click on an Alias ID to view alias primary matching fields. If you wish to push an alias field to a contact record field, check the box for the field, review where it will be mapped, then select Copy to Contact.

What if I do not see C&P Contact Alias?

If you do not see C&P Contact Alias within your Contact screen, then it has not been added as a Related List to your Contact View.
