Donor Management with Salesforce: C&P Temporary Contacts

If a Contact is not matched to an existing Contact, then a C&P Temporary Contact will be created. This is true if you have “C&P Settings > Contact Matching” set to either Semi Automatic Contact Creation or Manual Contact Creation.



Step 1: Click on the “C&P Temporary Contacts”. If it is not available then click on “All Tabs” button and search for C&P Temporary Contacts.

Step 2: Type: Based upon the type selection, the contact list will be changing. If “All” is selected then all the temporary contacts will be displayed. If “Payers” is selected then the contact list of registrants will be displayed. If “Event Attendees” is selected then the contact list of event attendees will be displayed.

NOTE: This option will appear ONLY when C&P Event Management package is installed in the Salesforce instance. 

Step 3: C&P Account: The selected account’s temporary contacts will be displayed in the contact list. If “All” is selected then all the integrated account’s temporary contacts will be displayed.

NOTE: This option will appear ONLY when the Salesforce instance have more than one C&P Account.

Step 4: Contact list can be viewed 10, 25, 50 & 100 entries at a time.

Step 5: Search option is available to find the temporary contacts based on all the index options.

Step 6: Click on the “ID” to view the details of the transaction.



Step 7: Custom Question Info: The custom questions and answers which were related to the transaction will be displayed in this section. 

Step 8: New Contact: This temporary contact can be created as a new contact by selecting the “New Contact” option. Click on “Process” button to process the transaction.

Step 9: Select Contact: Enter the already created contact name in the auto-fill field and select the desired contact from the drop down menu. Click on "Process" button to process the transaction.

NOTE FOR MULTIPLE C&P ACCOUNT USERS: If the Account Number (C&P Settings > C&P Account > Match Mode > C&P Account Number Match) is enabled, then the auto-fill field will show the records in the order of: First Name, Middle Initial, Last Name, Email, Phone Number, Address, Account Name, C&P Account Number and Contact ID in the drop-down menu. If the Account Number is disabled, then the auto-fill field will show the all the fields except C&P Account Number.

Step 10: Based on the Account Settings (C&P Settings > Contacts & Accounts) selected, the options will appear:

  • If "Do not Create New Account for new Contacts" is enabled, then you can't create the Account and the option will be NO ACCOUNT.
     
  • If "Create an Account/Contact pair (1 to 1)" is enabled, then you can create a new account.
     
  • If "Use one parent Account for new Contacts (1 to many)" is enabled, then the given parent name will be shown as the default name for the ‘Select Account’.



With NPSP: This temporary contact will be assigned to the Default NPSP Settings. Click on “Process” button to process the transaction.



Step 11: Select Account: If you want to assign the C&P Temp contact to the existing Account, then enter the Account name and select it. 

NOTE FOR MULTIPLE C&P ACCOUNT USERS: If the Account Number (C&P Settings > C&P Account > Match Mode > C&P Account Number Match) is enabled, then the auto-fill field will show the First Name, Last Name, Phone Number, Address, C&P Account Number and Account ID in the drop-down menu. If the Account Number is disabled, then the auto-fill field will show the all the fields except C&P Account Number.

Step 12: Attach to Existing Contact/Account: The Contacts which belongs to the same Account number along with the last name and email address matching will be displayed. The display criteria of the records are Last Name+Email Address > ONLY Email Address > ONLY Last Name. Select the desired contact by clicking on the radio button and click on "Process" button to process the transaction.  

NOTE FOR MULTIPLE C&P ACCOUNT USERS: If the Account Number (C&P Settings > C&P Account > Match Mode > C&P Account Number Match) is enabled, then the Existing Patron will search the patron details only in the Account Number from which the transaction was processed. If the Account Number (C&P Settings > C&P Account > Match Mode > C&P Account Number Match) is disabled, then the Existing Patron will search the patron details in all the Account Numbers which are integrated to that Salesforce instance.

For old Recurring Records: Suppose if the master recurring is processed but the middle installment is failed to process, then this can be settled only by the master recurring. 



For New Recurring Records: If any one of the unsettled installment is processed from C&P Temporary Contacts, then automatically the remaining unsettled installments will be processed.

Step 13: Potential Matches in Temporary Contact List: Based on the first name and last name matches, the records will be displayed in this section. By processing the selected potential match(es), the job will be sent to the queue which will run after five minutes. After five minutes, the selected potential match record(s) will be processed from C&P temp contact.

Step 14: Leads Info: Leads will be shown based on the phone number provided. You can promote the respective lead as the Contact by selecting the desired lead.

Step 15: After assigning the temporary contact to any one of the contacts, click on “Process” button to process the transaction.
