Donor Management with Salesforce: C&P Settings - Email Autoresponder

Using Autoresponder and C&P Designer, an organization may create an unlimited number of emails and send them based on the conditions set in C&P Settings.

With C&P Designer, you may create emails with existing templates, design your own templates, or use HTML to create custom emails. Emails can be customized using the Merge Fields on the left menu.

With Autoresponder, you may set up an unlimited number of auto-response emails. Select the conditions for sending the email, and then choose when to send. Emails can be sent immediately, delayed, or on a specific day.

C&P Designer

Step 1: Click on C&P Designer.

Step 2: Click on New if the template is not yet created. If the template is already created, then select the template from the list.

Step 3: Select Click & Pledge or the Custom library.

Step 4: Select the category from the drop-down menu.

Step 5: Select the template from the drop-down menu.

Step 6: Based on the category and template selection, the gallery of layouts will be displayed. Select the desired layout.

In the C&P Designer page, enter the template details which are mandatory (red marked fields). Use the Merge fields on the left to customize your email. To place any of the merge fields, place your cursor in the template body, where you want the merge Filed to appear and select the field from the left menu.

Please note that you cannot drag and drop the merge fields inside the template; you have to select the position and then click on the field to place it.

Ex: - Transaction year, month and day are included in the template body which is in the Date Merge Field.
Don’t forget to save the changes. Once you save your template, you can send this email as per your Autoresponder settings.

Email Autoresponder

Step 1: Go to C&P Settings.

Step 2: Click on Autoresponder.

Step 3: Click on Email.

Step 4: Click on New to create a new Autoresponder.

Enter the Autoresponder details which are mandatory (red marked fields). There are several factors that can be set. Only when these factors are satisfied you can get the Autoresponder to fire the email. Based on the organization’s need, those factors can be added manually in this Autoresponder Settings Page. Don’t forget to save the settings.

Please note that the Autoresponder settings are based on AND condition not OR, meaning the Autoresponder will send the email out when ALL conditions are satisfied, so make sure you check all the conditions and delete the ones you don’t need.

Please also note that in the case of a transaction with Recurring / Future Transaction / Matching Gift, it is mandatory to check those boxes in order to satisfy the condition and fire the Autoresponder.

NOTE: Matching Gift option will be available only when “Double The Donation” status is Authorized. Double the Donation can be authorized by entering Name & Double The Donation API key in Third Party Section (C&P Settings > Third Party). 


To use the same settings for another Autoresponder, Clone option is available. To clone an Autoresponder settings, go to C&P Settings > Autoresponder > Email > Autoresponder Setting Listing > Click on the desired responder name.

Click on the Clone button.

You will be redirected to the page which has same settings with different Responder name.

Eg: - Original Responder Name: Responder
        Cloned Responder Name: Responder - Copy

NOTE: Autoresponder settings can be changed based upon the need.
